Poplars Sports Ground                            Terms of Hire

 

Bookings are taken and administered by the Parish Clerk.

 

A deposit of 25% of total charge is payable at the time of booking.

 

Cheques should be made payable to Burton Joyce Parish Council.

 

The balance is payable 7 days before the event, or when the booking is made if less than 7 days in advance.

 

Bookings are subject to confirmation that no resident club has a conflicting activity planned for the date(s) in question.

 

The hirer must abide by any restrictions imposed by the Parish Council.

 

The hirer must provide the Parish Clerk with the name and contact details of a responsible adult, and the responsible adult must be present on site throughout the period of hire.

 

The hirer is responsible for safety, tidiness and cleanliness, damage and breakages, loss and injury and shall reimburse the Parish Council against all claims resulting from the hirer’s activities.

 

The hirer will be responsible for payment of any charges made in relation to unintentional/accidental activation of alarm systems.

 

Fire regulations permit a maximum of 80 persons in the lounge at any one time.

 

If the licensed bar is booked, it will be opened between the agreed hours. All drinks required, which are available from the bar, must be purchased from the bar. The hirer may be asked to provide volunteer assistance behind the bar.

 

No glassware may be taken outside the lounge. All drinks consumed outside the lounge must be purchased in plastic beakers (10p charge).

 

The hirer must state their first aid arrangements and name of their trained first aider if other than Red Cross, St Johns’ or equivalent. Details of accidents must be entered in the Accident Book kept at the servery.

 

The hirer, if bringing prepared food or preparing food in the kitchen and/or servery facilities, must state the name of their certified food and hygiene ‘manager’ and supply a copy of their certificate, and abide by the Health & Food regulations.

 

Discos and/or loud music are not allowed unless prior details have been submitted so that, if necessary, the Parish Council can advise the Local Planning Authority.

 

Bookings for private functions should be sport-based or made by a resident of Burton Joyce or Stole Bardolph otherwise it may not be accepted.
